Sign a page

Sending a Confluence page for signing, in 28 seconds, no sound.
What the video shows
  1. Select Sign this page under the page title. The SignPlus panel opens on New signing.
  2. Select Add signer and add a colleague, then a Confluence group.
  3. Turn on the options the signing needs.
  4. Select Start signing. The panel says SignPlus is sending the page to Dokobit, and a flag confirms that everyone has been invited.
  5. A signer opens the invitation, chooses Smart-ID on Dokobit’s page and confirms the verification code.
  6. When everyone has signed, the byline reads Page signed and valid and the signed document is attached to the page.

A signing starts from the page itself. Beside the page title, under the byline, select Sign this page. The panel that opens has up to three tabs:

Starting a signing needs permission to edit the page. Anyone who can view the page can open the panel and read its signings.

Check the signing mode before the first real signing

A new installation signs in Dokobit’s test environment, where documents come back watermarked and are not legally binding. A site administrator changes that under signing mode.

Start a signing

  1. Open New signing

    The panel opens on New signing when the page has no signing yet.

  2. Check the document format and name

    Document format lists the formats the space allows, with its default chosen. Document name starts as the page title and becomes the signed file’s name, so change it if the title is not what the document should be called.

  3. Add signers

    Select Add signer and choose Internal user, External partner or Group. Give each one a role. Repeat for everyone who has to sign or be told.

  4. Choose the options

    Read-only, restricted viewing, signing order and attachments are switches under the list. Show additional settings opens the message and the due date.

  5. Select Start signing

    SignPlus checks the request against the space’s settings, then renders the page and sends it to Dokobit in the background. You can close the panel while it works.

Who can sign

Add signer opens a dialog with three tabs.

Internal user One person with a Confluence account Their name, picked from your site’s users, and a role
External partner One person outside your site Full name, email address and a role. Dokobit sends the invitation to that address
Group Everyone in a Confluence group The group, picked from the groups you belong to, and one role for all of its members
Role What it means
Signer Receives an invitation from Dokobit and signs
Viewer Is never asked to sign, and is notified once everyone has signed

A group is expanded when the signing is sent, not when you add it. Every member gets an invitation with the group’s role. A person who is in the group and also added on their own is invited once, with their own role. A member whose email address Confluence does not give out cannot be invited, and the signing says how many were left out.

You can only choose groups you belong to. A signing reaches at most 25,000 people once its groups are expanded, at least one of them must be a signer, and the same person cannot be added twice.

Change a role with the menu in the Role column, and remove a row with the bin under Actions.

The person who starts a signing can be told when it completes

Where the site’s Add the initiator as a viewer automatically setting is on, which it is by default, you are added as a viewer, so you get Dokobit’s notice when everybody has signed.

The options

Each switch has an information icon beside it that says what it does.

Option What it does
Make page read-only Only SignPlus can edit the page once the signing starts. The lock stays after the signing completes, and lifts if it is declined or cancelled. Who can view the page is unchanged
Restrict page viewing to signers and viewers Only you and the people added above can open the page until the signing finishes. Who can edit it is unchanged
Signers must sign in the order listed Each signer is asked after the one above them has signed. Drag the rows into order
Include attachments Adds the page’s attachments to the document, each starting on its own page. A file with no page form, such as a spreadsheet, is listed instead

Show additional settings opens three more, where the space allows them:

Option What it does
Message in the invitation email Text Dokobit puts in the email each signer receives. The site can prefill it, require it or remove it
Due date and Due time When the signing should be finished. The information icon says which time zone the time is read in: your Atlassian account’s, or your browser’s when the account has none
Refuse signatures after the due date When on, the document cannot be signed once the due date has passed

Where the space has decided an option for everyone, the form does not offer the switch. It says what will happen instead, under While this signing runs, for example only SignPlus will be able to edit this page.

A signer outside Confluence cannot be given access to the page

Restricting viewing works for people with a Confluence account, and for a group as a group. An external partner cannot be added to a Confluence restriction, so they receive the document from Dokobit instead and lose nothing.

While SignPlus sends it

After Start signing, the panel shows Sending for signing: SignPlus is rendering the page and sending it to Dokobit. You can close this window while it works.

The signing runs in the background, so closing the page does not stop it. A few people take seconds. A group of thousands takes minutes, because every member’s address is read from Confluence and the invitations go to Dokobit in batches.

When it is sent, a Signing started message says everyone you added has been invited, and the panel moves to Latest signing.

A signing goes to everybody or to nobody. If Dokobit accepts part of a large signing and then refuses a batch, the signing is withdrawn from everyone it reached and the panel shows Not sent for signing with the reason. Nothing is half sent.

The document is the page as you see it

SignPlus reads the page as you, the person who started the signing, even in the background. A macro that shows each reader something different, such as a Jira work items table, prints what you can see. Before you start, Download the page as PDF shows you exactly what will be sent.

The download button beside Start signing exports the page with the site’s styling, without starting a signing, so you can check the document before anyone signs it. It usually takes 5 to 15 seconds. The PDF is also attached to the page.

Your signings

SignPlus: your signings, in Confluence’s Apps menu, lists every signing you have started, across every space, newest first: the space, the page, the status, how many signers there are, and when it was created and last updated. The menu under Actions downloads the signed document or opens the signing’s details.
